  • The hotel accommodations for travel grant recipients cover three (3) nights: July 23, July 24 & July 25 (check out on July 26th).
  • No other nights will be covered by CVI. Any extra nights are at the recipient’s expense and must be coordinated with the hotel by the recipient.
  • Sharing of rooms is permitted, but it does not alter the number of nights covered or specific dates covered by the travel grant.
  • A credit card is required (the hotel is cashless) to cover any incidentals charged to the room.
  • Meals are not covered by travel grants, although there are several sponsored breakfast, lunch and dinner symposium available to attendees.

Travel Reimbursement FAQ

  • Travel reimbursement is capped at $500 for domestic travel grant recipients and $1000 for international travel grant recipients.
  • Travel reimbursement is for airfare and airport transfer (cab, ride sharing) so long as it doesn’t exceed the cap.
  • A confirmed travel itinerary, unless local/driving, is required to confirm your attendance and to be added to our room list.
  • International recipients may submit their reimbursement forms and receipts Friday, July 25th and receive reimbursement that day via a check that will be accepted at an authorized bank nearby.
  • Domestic recipients should submit their reimbursement forms and receipts after CVI has ended and will receive reimbursement checks within 30 days.
  • Any travel/hotel expenses for guests/family members of attendees are not covered.

Travel Grant Requirements

  • Attendance of 80% of required CME sessions is required.
  • There are 10 CME sessions (4 each on Thursday and Friday, 2 on Saturday), each is 1.5 hours for a total of 15 hours. Therefore, the requirement is 12 hours.
  • Participants in the Challenging Case Competition and Poster Abstract presentations will receive credit for time spent in those activities.
  • Some symposium may count towards your requirement (Fellows Bootcamp, Heart Team Symposium, Innovations Summit, etc.)
  • Volunteers assisting CVI staff will have their volunteer time included towards fulfilling their requirement.
  • Travel issues: Consideration will be given to recipients that miss some sessions due to unforeseen travel issues (flight delays/cancellations due to weather or technical issues).
  • What if I don’t meet the requirements of my grant? Reimbursement may be withheld for those who do not meet their requirements. Additionally, failure to fulfill the requirements may affect eligibility for future CVI travel grants.

Technical FAQ

  • How is time tracked?  Badges contain RFID tracking that is detected each time you pass the scanners.
  • Do I have to stay for an entire session?  You are free to move from one session to another session. Your time for each session will be tracked separately. For example, if you are in a session but need to leave to present your case in another room, your time in each session will be tracked.
  • What if I lose my badge? A replacement badge can be obtained at the registration desk. Time tracking is associated with the attendee even if it is a replacement badge.
  • What if I want to attend a workshop? You are free to attend workshops, but we do not track workshop attendance. Workshop sponsors will likely take attendance though, so, if you do attend a workshop, be sure to sign in with the sponsors so we can verify your attendance if needed.
